Konica Minolta Security Capabilities:

Ensuring Confidentiality On Shared Printers

To enable secure printing, Konica Minolta devices have a number of methods to ensure control over the security of documents. Konica Minolta MFDs and printers come with a secure printing function, which allows users to send confidential documents in secure mode, where printing can only be enabled by entering a PIN number on the printer front panel, or by logging on to the printer using a web browser and selecting the secure print option.
 

Information is valuable and keeping it confidential is critical. The bizhub range is equipped with a wide range of security functions, which keeps the information securely and can only be accessed by authorised people. What's more, an encryption protocol and the network server authentication function keep your data confidential and safe while exchanging over the network.

Secured Print Function

In order to keep the confidential documents, such as project bids, in a secure environment without letting any third party see it, a password-based security lock can be created for any printed documents. The confidential document can only be output unless the password is entered.
 
Hard Disk Lock

By using a unique compression technology, the data in the hard disk is extremely difficult to analyze. Furthermore, a password-protected lock can be applied to the hard disk drive, preventing readability even if the drive is removed from the device.

 

Furthermore, the authenticity of the documents can be maintained by assigning passwords to the users for access to a public “box”. Executives can share and print frequently used documents, thus offering convenience and saving time. For confidential documents, a lock can be secured on the documents to prevent unauthorised entry, as the bizhub is ISO15408 certified in security (more details on ISO15408 later in this document).

 
Configuring Output Tray Designations
In addition to these secure print options, Konica Minolta devices also have mail box options for document output whereby additional bins are used. The output trays are configured to predetermine which jobs go to which tray.  This is very useful separate departmental printing from general copy/print/fax jobs.

ISO15408 Security

Used for assessing the level of IT security a product provides, the ISO15408 international standard sets a strict guideline for evaluating security policy, program design documents, source code, manuals, and other factors. A product qualifies for official designation as ISO/IEC15408 compliant only when an independent testing facility under the International Common Criteria for Information Technology Security Evaluation ("Common Criteria" or CC) has determined that the product meets CC standards.
 

ISO15408 certification applies only to IT security capabilities. Certification is NOT a product guarantee.

Network Security

Administrators can assign a user name and password to every user on the network. Once assigned, access to and restrictions on each network and device function can be placed on individual users. Besides the obvious security benefits of preventing unauthorised access, this feature also cuts costs by preventing over-use. Authentication is carried out by using Active Directory*, NTLM (Windows NT) and NDS (NetWare), powerful software titles that ensure accurate password protection for the entire network and for individual devices.

Requires Windows 2000 or Windows Server 2003 or later.

Network Protocol Security

Conforming to a number of Konica Minolta security policies, server access can be restricted, while important information is encrypted during transmission over an office network.
 
SSL Data Encryption

All bizhub machines use the SSL encryption protocol, which is compatible with a host of network protocols including LDAP, TCP/IP and FTP. Data is securely transmitted between networks and also between PageScope Data Administrator or PageScope Web Connection and the main unit. The SSL protocol is a strong safeguard against leaks and eavesdropping, ensuring the confidentiality of highly sensitive data such as contact information being downloaded from an LDAP server.

Address Import

Importing address data from the network requires an administrator-level password. If the device’s administrator-level password is incorrectly entered, it won’t register. This security measure prevents data from being tampered with.

Virus Protection

Konica Minolta products with internal device controllers use a real-time operating system that offers a high degree of safety against virus attacks. Machines that use EFI’s external Fiery controllers are protected by timely security updates.
 
Data Security
Using an external server, the user authentication system can restrict or permit user access to copy, print, scan and fax functions. Output can be set to a maximum limit and color and B/W limits can also be entered. Even without an external server, authentication can be performed with the device.
 
HDD Security

The HDD on bizhub devices can be locked with a password, preventing access even if the HDD is physically removed. Data on the HDD is compressed before storing, making it extremely difficult to analyze and use without decompressing. Before discarding a Konica Minolta device, the HDD can be completely overwritten with a series of numbers or random numbers.

Box Security

Box data can be password-protected, with access available to individual users or workgroups.

Audit Log

All user access is recorded in an audit log, along with the data and time of access, the actions attempted, and whether or not the attempts were successful. In the event of unauthorized access, administrators may use this log to trace its source.
 

Data that has been scanned to the box as a PDF file can be encrypted and protected with a password.

 
Memory Erase
After data is scanned and printed out, each page is overwritten, eliminating the ability to reprint. In addition, compressed data is deleted from the memory as soon as it output or transferred, making future attempts to output and transfer by unauthorised users impossible.
 
Outside Line Security

Fax intrusions often originate from public telephone lines in a format other than the G3 fax protocol. The fax units on bizhub machines support only the G3 fax protocol, blocking any data that uses a non-standard protocol or can't be decompressed as fax data.

Diagnostics Service

Main body settings on Konica Minolta devices can be securely updated over a public telephone line via the remote diagnostics system.

Secure Print

The Secure Print feature requires users to enter a unique password at their PC, and then renter the same password at the bizhub control panel in order to retrieve output. Requiring a password ensures that confidential information remains private and that documents aren't incorrectly taken away, either maliciously or by mistake.

Woven Pattern Print

Original prints can be clearly differentiated from copies with the woven pattern function. A woven pattern can be set with a word such as “Confidential”, which then appears on the copied document. For more comprehensive document tracking needs, the serial number of the MFD, and date and time stamps can also be added. When used in combination with the audit log, unauthorised use can be identified quickly and efficiently.
